Terms of Use

ICDhelp.ai (the “Service”) is operated by Vilja Care Ltd (“Vilja Care”, “we”, “us”, “our”). By using the Service, you agree to these Terms.

1) What the Service does (and doesn’t)

The Service suggests possible ICD-10 codes from user-provided text and shows terminology from reference tables. The Service is informational only, not a medical device, and does not diagnose, treat, or replace professional judgment. A qualified clinician must validate all results and local coding rules must be followed.

2) Age & access

The service is not intended for use by individuals under the age of 18. You must be legally able to accept these Terms. If accounts are offered, you’re responsible for safeguarding credentials and all activity under your account.

3) Your input & strict data minimization

Do not include personal data that can identify a person (e.g., names, national IDs, full dates of birth, addresses, emails, phone numbers, record numbers, images). Use de-identified or synthetic text.

You retain rights to your input; you grant us a non-exclusive license to process it to operate, secure and improve the Service. If you submit special-category data (health) despite the above, you confirm you have a lawful basis under applicable law and are permitted to do so. We strongly discourage submitting any personal data.

4) AI / third-party processing

To produce results we may use third-party processors, including AI model providers, which may be located outside the EEA under appropriate safeguards (e.g., EU SCCs and technical/organizational measures). We do not sell personal data.

5) Outputs & accuracy

Model outputs can be inaccurate, incomplete, or outdated. We provide no warranty that outputs are correct, complete, or suitable for any purpose. You are responsible for verifying outputs before use.

6) Acceptable use

Do not upload unlawful content, malware or personal identifiers. Do not scrape at scale, reverse engineer, or bypass rate limits. Do not use outputs for automated clinical decisions without human review. We may rate-limit or suspend for risk/abuse.

7) Privacy, cookies, consent

We use a consent banner for cookies/identifiers. Until you consent, we limit storage and show non-personalized experiences where applicable. See our Privacy Policy for details and your rights. You can revisit choices via “Privacy & cookie settings”.

8) Advertising & sponsorship

We may show ads or sponsorships. Where consented, ads may be personalized; otherwise we show non-personalized ads or house ads.

9) Intellectual property

The Service (software, UI, content other than your input) and trademarks are owned by Vilja Care Ltd and its licensors. You may not copy, modify, or create derivative works except as permitted by law.

10) Third-party links

The Service may link to third party sites/services (analytics, ads, AI model providers, CDNs). We are not responsible for their content, policies, or availability. Your use is governed by their terms and privacy notices.

11) Availability & changes

The Service is provided “as is” and “as available”. We may modify, suspend, or discontinue features at any time. We may update these Terms; material changes will be posted here with a new “Last updated” date.

12) Disclaimers & liability

To the fullest extent permitted by law, we disclaim all warranties (including accuracy, fitness for a particular purpose, non-infringement) and will not be liable for indirect, incidental, consequential, special, punitive, or exemplary damages; or for lost profits, revenues, or data; or for clinical/coding decisions made based on outputs; or for any other use of the Service. Our total liability is limited to what you paid us for the Service in the prior 3 months.

13) Indemnity

You agree to defend, indemnify and hold harmless Vilja Care and affiliates from claims, losses, and costs (including legal fees) arising from your content, use, or breach of these Terms.

14) Governing law & venue

These Terms are governed by the laws of Finland. Disputes shall be resolved in the courts of Finland.
